Being a Vendor at Imagi-Con 2023
We are excited to welcome vendors of all kinds to Imagi-Con! Since we are a family convention, some items are prohibited from sale at Imagi-Con. Imagi-Con reserves the right to determine what is appropriate to sell. Any vendors selling inappropriate items will be asked to take down the items and may be asked to not return to Imagi-Con for the following years.

All vending types will be $10 a space, approx. 12 x 12 feet, nonrefundable.
Spaces will be outdoors, located in the field behind the Bass House
OR located in the parking lot next to the Bass House if a food vendor.
The event will last from 9 am – 3 pm on February 25th and is free to the public. Set up will begin at 8 am.
Vendors must supply their own tables, chairs, tents, change, extension cords, etc.
Food vendors must supply a menu of what they'll be serving, and if they have one, a copy of their food license.
Payment and documents must be supplied a minimum of 3 weeks before the convention. No advertisements or spaces will be reserved until payment and documents are received.
Spaces will be sold first come, first served
All Vendors are required to comply with local and state laws, especially those operating concessions.

Once you’ve turned in your application, our staff will review it. If your application is accepted, you will be contacted with information to finish registration and will be contacted to make your payment.
If the Vendor Spaces are sold out, we will notify you and add you to the waiting list. If another vendor cancels their space, the space will be given in order of the waiting list.

Imagi-Con Rules and Regulations
Imagi-Con staff welcomes all artists and vendors who wish to participate in the artist/vendor’s booths at Imagi-Con ‘23! The convention is held throughout Brundidge on Feb. 25th, 2023. We ask that all artists/vendors please be respectful of decisions that the staff may have to make concerning the artist/vendor’s booths the day of the convention. We are constantly working to make the Con experience great for everyone and may have to make changes in the initial plans. There will be dedicated staffers available exclusively to participating vendors. They will be identified to the vendors at the convention, so if there should be any questions/problems, please contact these staffers. We will try our best to prevent problems from occurring, but we cannot plan for every contingency. Should a problem arise with another vendor, please speak to a staffer. Imagi-Con reserves the right to deny an vendor space to anyone should a problem occur.
Venue Guidelines
Please remember it is the responsibility of all vendors to comply with local and state laws. All food vendors MUST provide a copy of their Business license and/or Health Department Permit if they have one. If indoors, we ask that you only use masking tape or pins in fabric panels (if available) for temporary room decorations. Please do not use staples, nails, tacks or other forms of tape. Do not place stickers or paints, or deface venue materials in any permanent fashion. Signs, banners and flyers may not be posted outside of your table space. We do not allow the open sales of any type of adult-themed material (not limited to DVDs, VHSs, pornographic images/artwork). No adult material may be viewed, sold or distributed, and we require that vendors not bring adult-themed material at all. Imagi-Con reserves the right to judge the acceptability of all displays. In addition, questionable material (such as paraphernalia and images from groups such as KKK and Nazi or Nazi-like merchandise) are prohibited.
- Sales tax is the liability of the vendor
- Violation of copyright law concerning logos, emblems, names, etc., is the liability of the vendor
- Name games of chance (pick up the duck, ring toss, etc.) must be reviewed and approved in advance.
- Booth spaces are assigned on a first come first served basis, with the exception of food vendors being placed closer to outlets.
- Generators are not permitted indoors. If additional voltage is required, please contact us.
Weapons: The presence and sale of firearms and explosives is prohibited. It is the responsibility of vendors to secure all weapons prior to sale to prevent theft or injury from mishandling. For any weapons not in compliance with Imagi-Con Guidelines, Vendors must mark weapons for non-weapon use OR put up signage to specify. Vendors, remind buyers to secure items that could be harmful.
Act of God Policy: If the event must be postponed or canceled due to an act of God (BAD storming, enforced quarantine, etc.) Imagi-Con reserves the right to cancel up to three days before the event.

Space Pricing and Portfolio Submission
Vendor spaces are sold for $10 per space, approx. 12 x 12 feet. This price is not negotiable. As part of the application process, vendors are required to submit a portfolio. Food Vendors are required to submit a menu of what food items they intend to sell and if they have one, their food license.
Portfolios-Acceptable types:
- Vendor/artist social media pages (i.e. Facebook, Instagram, Tumblr, etc.),
- Online stores (i.e. Etsy, etc.),
- Vendor/artist’s own website.
- Jpegs, PNGs, or other common image types.

The Imagi-Con team will review and approve/deny all portfolios regardless of format submission. Upon approval, vendors/artists will be notified and prompted for payment. Please do not submit your payment before application approval.
Food Vendors
- Food Vendors (also includes Food Trucks) spaces will be sold for a flat fee of $10. This price is not negotiable.
- Food Vendors are required to submit what food items they intend to sell (menu or list).
- All food vendors MUST provide a copy of their Business license and/or Health Department Permit if they have one.

- Please review Food Safety Basics prior to event and practice food safety during event.
Note: Low acid foods that have been canned at home, such as canned meats or canned vegetables are not allowed unless you have a certificate for Cottage Foods Producing. To see if your product falls under this category, email us at ImagiConBDGE@gmail.com with more details and we'll contact the health department to find out.
Availability
Vendors are asked not to encroach upon their neighbor’s space unless they are given permission.
Vendors forfeit space if arrival is one hour or more after the start of the event and no prior notice was given.
No-show spaces will be sold to available wait list vendors or sold to other vendors at the convention. All payments must be made on or before given date, or the vendor will forfeit their space. After the initial spaces are filled, Imagi-Con will keep a waiting list of other interested vendors, to be filled either before or on the day of the convention. Imagi-Con will attempt to create online advertisements of vendors as time allows, after documents and payment have been received.
Cancellation Guidelines
So long as payment has not been made, registration can be cancelled until Feb. 3rd. All cancellation requests must be emailed to ImagiConBDGE@gmail.com. Vendor Fee Non-Refundable.
Set-up/space
Spaces will be approx. 12 x 12 feet. Vendors are responsible for transporting and/or set up/construction of any and all of their own merchandise, equipment, etc. Imagi-Con does not have access to standing displays/curtains, so please plan on bringing your own. If you plan to bring your own portable walls, they must be properly secured and may not encroach on another vendor's space. Standing displays, portable walls, and the like that pose safety risks, will be asked to be secured and/or taken down. There are limited power outlets and you will need to bring your own extension cord. Your ability to use said cord will be dependent on its impediment of walkways and other vendors. Vendors are responsible for transporting and/or set up/take down of any and all their own merchandise, equipment, etc.
Imagi-Con reserves the right to ban any and all equipment.
Reserving Multiple Spaces
Vendors are welcome to reserve multiple spaces, limit 2 unless stated otherwise. If there are extra spaces available at opening, vendor participants may purchase an extra space then.
Hours of Operation
The vendor’s booths operating hours will be 9am - 3pm. Set up will begin on Feb. 25th at 8 am, and we ask that all dealers clear all items and equipment by dark the same day. All items left after dark on Feb. 25th become property of Imagi-Con. Vendors are advised not to leave personal materials unsupervised. Imagi-Con takes no personal responsibility for items stolen. If additional set up or clean up time is needed, please contact staff before hand.
Illegal Parking
Avoid blocking traffic or private property. All vehicles parked illegally will be asked to move and/or will be towed for non-compliance.
Imagi-Con Logo
Vendors are not allowed to use the Imagi-Con logo without the expressed permission of Imagi-Con. If an vendor would like to use the Imagi-Con logo, please contact Karis Nicholson by email at ImagiConBDGE@gmail.com for more information.
Official Agreement
I, the Vendor, agree to refrain from selling adult material at any Imagi-Con event (material determined by age rating or a mutual agreement as to what items constitute as “adult”). I agree to respect other vendors and not encroach upon their given space (barring extenuating circumstances). I agree to adhere to all venue rules and regulations, outlined in the Vendor's Contract. I understand that the amount that I pay only guarantees the stated number of space(s). I agree to adhere to the posted Vendor's hours, and absolve Imagi-Con/the Tupper Lightfoot Memorial Library, the City of Brundidge and all volunteers of any responsibility for theft or destruction of merchandise. I agree to adhere to the venue guidelines. I agree to refrain from selling non-legitimate materials (not limited to bootlegs or fansubs).
We, the con administration, reserve the right to remove any artist/vendor for any reason listed above, dearth of payment, or inappropriate behavior (see Library Code of Conduct). We will make good faith attempts to prevent theft and destruction of vendor property by having staff/volunteers in the area during Imagi-Con events.
